Checking the pledge card

 

Please check each pledge form for completeness and accuracy, using the Checklist below:

  • Make sure name, identification, agency/location, work phone, address, email address and gift amount are clear.

  • Amount for payroll deduction should be at least $1 per pay period. The LFCC set a recommended minimum for payroll deduction giving of $2 per pay period (total gift $52) but $1 per pay period will be accepted ($26 total). Please encourage Donors who contribute less than $26 to give by cash or check..

  • Number of pay periods is 26 per year for civilians and postal campaign, 12 for military.

  • Total gift equals amount per pay period times number of pay periods e.g. $5 x 26 = $130 total gift. (Please note: many amounts do not divide evenly by 26 e.g. $38.47 x 26 = $1000.22 for Leadership gift)

  • Five-digit designation codes must be clear and readable! Only codes from the current Campaign Charity Listing will be accepted. Write ins and codes from other campaign areas are NOT allowed.

  • Amount designated to specific agencies is less than or equal to the total gift. Designations are based on annual gift, not per-pay-period gift.

    • Copy #1 to Payroll Office

    • Copy #2 to CFC

    • Copy #3 to Donor

  • Signature is at bottom right for payroll deduction.

  • Donor acknowledgement box (bottom left) is understandable. We will not report the donor's name and address to his/her charities unless he/she has provided the information AND checked the "yes" box. If only "yes" is checked and no home address is provided, work addresses will NOT be released.

  • Please ask donors to redo any pledge cards that have many corrections or are unclear.

  • Store all pledge cards, cash and checks in a secure place until you can turn them into your Campaign Coordinator/Keyworker. If possible, have your office or a federal credit union convert large amounts of cash from special event fundraisers into a check. Turn in pledges at least once a week.

  • Please treat all pledge information confidentially.

    • It is imperative that all key workers, coordinators, the loaned executive and CFC staff ensure that all donor information is kept confidential.

    • Safeguard all personal identifiable information, such as their name, social security number, address, etc.

    • Shred any documents with donor information
